Tropic Breeze is an independent tour operator that specialises in creating bespoke holidays to the Caribbean and the Maldives. We are currently recruiting for the positions listed below, based at our office in Yealmpton, Devon. Administration and Accounts Assistant

Maternity Cover
Monday – Friday 9am-5pm
Salary: DOE

An opportunity has arisen for an experienced accounts administrator to join our friendly team on a temporary contract, to cover maternity leave. Working within the Operations Team, the successful candidate will perform a range of administrative tasks, as well as maintaining the smooth running of the daily accounts procedures.

Responsibilities will include:
- Processing booking documents,
- Data entry onto Capsule data storage system and TMS bespoke booking management information system,
- Producing travel documentation,
- General office administration – filing, scanning, compiling documentation etc.,
- Credit control,
- Processing invoices using internal accounting system,
- Liaising with suppliers to obtain/query invoices,
- Working with FX companies and managing funds to make payments,
- Processing payments,
- Understanding of supplier contracts in relation to costings and contracted payment terms,
- Managing petty cash,
- Supporting the Sales Team with general administration and accounting queries.


To be considered for the position, you will need to:
- Have previous experience within an administration and accounts role,
- Be competent in the use of Microsoft Word and Excel,
- Have achieved a minimum, grade C or above GCSE in Maths and English (or equivalent),
- Be a team player who also has the ability to work individually with good use of own initiative,
- Be highly organised with the ability to be flexible and multi-task,
- Have a keen eye for detail and accuracy,
- Be an acute problem solver,
- Be able to demonstrate strong communication skills and the capability to build rapport with suppliers.

 

Operations Assistant

Permanent
Monday – Friday 9am-5pm
Salary: DOE

An opportunity has arisen for an enthusiastic individual to join our friendly team providing support to both the Operations and Marketing Teams.
The successful candidate will perform a range of tasks including administrative duties, loading contracts and assisting with marketing responsibilities.

Responsibilities will include:
- Processing booking documents,
- Data entry onto Capsule data storage system and TMS bespoke booking management information system,
- Producing travel documentation,
- General office administration – filing, scanning, compiling documentation etc.,
- Loading supplier contracts and special offers onto TMS bespoke booking management information system,
- Sending surveys and monitoring responses,
- Updating the company website,
- Resizing Images.

To be considered for the position, you will need to:
- Be competent in the use of Microsoft Word and Excel,
- Have achieved a minimum, grade C or above GCSE in Maths and English (or equivalent),
- Be a team player who also has the ability to work individually with good use of own initiative,
- Be highly organised with the ability to be flexible and multi-task,
- Have a keen eye for detail and accuracy,
- Be able to demonstrate and analytical approach to working,
- Previous experience within a similar role would be advantageous but not essential, as full training will be given.
